The Siemens Mobility division has an exciting opportunity for a Sales & Operations Administrator Professional to join our Mobility team, based in our offices in Port of Melbourne. This is a hybrid role supporting our Sales & Operations teams on general sales operations processes, managing expediting sales orders and overall administration of specific operations processes.

Key responsibilities/Sales Team:

  • Pro-actively expedites open sales orders and monitors delivery status to ensure committed schedules are adhered to
  • Implements mitigating actions where necessary to improve delivery performance for back orders
  • Ensures close cooperation with internal stakeholders (e.g. Procurement, Production, Engineering) and communicates up to date order status proactively with the end customer
  • Actively manages customer expectation with regards to delivery performance and lead times while ensuring prioritisation of orders to meet customer requirements
  • Generates regular open order reporting for key customers and proactively manages back orders and prioritisation to meet customer requirements
  • Systematically analyses order management processes / delivery performance and makes proactive recommendations, taking ownership for driving improvements
  • Prepares, reviews, and creates customer quotations and books customer orders / revisions to orders according to customer requirements
  • Reviews customer orders and checks consistency and completeness in cooperation with all involved stakeholders on both customer side and Siemens' sales or project management organisation
  • Ensures timely shipment and billing of equipment
  • Proactively resolve issues in the end to end process from quotation to delivery to enhance performance and process efficiency
  • Ensure adherence to compliance regulations within Siemens 
  • Support the operational repair process including receipt of incoming goods, creation of purchase requisitions, service order contracting, dispatch for external repairs, receipt of repaired items, end customer dispatch, customer invoicing, and continuous improvement including raising of quality incidents
  • Support the operational resale orders including receipt of incoming goods, picking of parts, domestic and export customer dispatch, and continuous improvement including raising of quality incidents
  • Other SAP transactional activities as required

Required skills and qualifications

  • Pro-actively expedites open sales orders and monitors delivery status to ensure committed schedules are adhered to
  • SAP expertise
  •  Microsoft Office
  • Process Improvement experience identifying, analysing and improving upon existing business processes within an organisation
  • Team player with ability to work within a small team environment
  • Self-motivated and diligent
  • Flexible and open to changing business environment and responsibilities
  • Previous experience in customer/ client services role in a similar stock/ warehouse-based environment.
  •  Previous experience in "Sales Administration" or "after sales support" roles would be highly regarded.
