Team Assistant

Job Description

Responsibilities:

• General administrative and clerical tasks (such as answering phones, mailing, filing and photocopying)
• Signing of documentation with division management, distribution among internal and external counterparts.
• Supporting team members with travel when necessary, including visa process, booking flights, car rental and hotel accommodations, arranging meetings, completing expense reports for reimbursement after the business trip, etc.
• Preparing letters, managing databases, presentations and reports
• Maintaining the office condition and arranging necessary repairs, organizing the office layout and ordering stationery, coordinate with IT department on all office equipment
• Preparing and following up meetings, team building events and celebrations for company milestones
• Time sheets reporting
• Document flow coordination


Requirements:

University degree
• 1-2 years of related experience
• Good English is a must (written and spoken)
• German will be a plus
• Excellent interpersonal skills
• Excellent organizational skills
• Strong verbal and written communication skills
• Proficient computer skills, particularly with Microsoft Office, Word, Excel, PowerPoint, Microsoft Visio
• Knowledge of SAP system would be an asset
• Proficient in problem solving and multitasking
