Business Administrator

Job Description

For our Smart Infrastructure department in Kiev we are looking for a Business Administrator at the earliest opportunity.

  • Commercial and administrative support in the area of engineering services provision (in Ukraine as well as within cross-border projects);
  • Preparation of contractual documentation, orders, calculations, commercial justifications, invoices, reports necessary for projects execution/services provision;
  • Clarification of related issues in the context of intracompany business organization with other regions: taxation, delegation and services delivery requirements;
  • Initiation and support of the cross-border activities of the engineering team of the department: business trips and delegation arrangements, travel approval process control, cost estimations, conductions of clarifications between regional entities in regard to pre-departure arrangements/immigration topics (e.g. arrangement of work visa, international driver license, tickets, medical insurance, medical certificates and their translation, invitation letter, declaration etc.);
  • Support with submission of travel expenses reports according to the tax code of Ukraine, internal company regulations;
  • Handling of time sheets, recording and allocation of productive engineering hours within the projects;
  • Preparation of calculations as a basis for invoicing to customers. Control over the timely receipt of payments in accordance with payment schedules and conditions agreed in the contracts.
  • Maintenance of business operations in SAP in compliance with Ukrainian legislation and IFRS (orders for goods and services purchasing required for conduction of economic activities of the department, documentation for financial department of the company such as certificates of acceptance, VAT bills, delivery notes, invoices etc.;
  • Performing of concurrent costing and the associated cost controlling;
  • Executing monthly/quarterly/ yearly closing activities including controlling and reporting;
  • Communication with customers/suppliers on ongoing working and financial matters;
  • Maintenance of proactive cooperation with central divisions and business unites of the company.

Competencies / Eng.

Education - Qualifications - Work Experience

  • At least 2 years of professional experience;
  • Knowledge of SAP system would be an asset;
  • Ability to work in a team, initiative, ability to study, focus on achieving of results and quality, analytical mind;
  • Proficient in problem solving, decision making and multitasking;
  • Good English is a must (written and spoken);
  • German would be an extra asset;
  • IFRS – basics;
  • Good knowledge of MS Office applications – experience user;
