To support Global Operations using operation specific Document Management System for Client and Supplier Documentations.

  • Utilize Dresser-Rand /Siemens Client and Supplier Document Management system, but not limited to, the following functions:
    • Responsible to reconcile all documents at the end of an order in preparation for archival and imaging.
    • Interact with client and supplier document management personnel to resolve document conflicts and answer document submission questions.
    • Produce reports documenting measurable parameters utilizing the Document Management System, Kronos, and other requisite computer systems.
    • Maintain all Document Control Registers, Supplier follow-up lists, Master Document Lists as required by specific projects/orders/project engineers.
    • Receive and transmit documents from Engineering and Drafting personnel to Dresser-Rand/Siemens clients and suppliers. Maintain all assigned Dresser-Rand/Siemens orders.
    • Receive, evaluate, and categorize documentation from suppliers and clients. Add cover sheets to documents.
    • Utilize Dresser-Rand/Siemens and client web-based software exchange sites and utilities in the transfer of order documentation.
    • Should independently interact with project manager and engineers for documentation schedule for the project
    • Interact with client and supplier document management personnel to resolve document conflicts and answer document submission questions.
    • Responsible project progress reports on monthly basis, expediting, documentation
  • Responsible to maintain Client/Supplier documents turn-around-time (TAT) by effective utilization of available resources/tools and demonstrating good time management and prioritization skills
  • Review daily the VDC interface tool and ensure that fields are well populated by Discipline (to be done by each supervisor at project start)
  • Responsible to contact doc owner 1 week before committed date to ensure Doc is on track meeting due dates
  • Check returned doc from customers and evaluate if comments are minor or major and convey comments to the respective engineering teams/suppliers
  • Interaction with action owners to Identify road blocks for late documents and report the comments in VDC Interface
  • Expedite with suppliers to get commitment dates and report in VDC Interface; Log communication with suppliers to allow escalation with SCM
  • Follow-up with other engineering documents out of SMDL/VDC from supplier’s mandatory for engineering progress
  • Report to Engineering Manger all missing or inconsistent information’s; late docs and identified reasons
  • Analyze and inform Engineering Manager if major comments have been received on any document
  • Formalize a weekly Doc status report on each job for Project Management

·       Graduate in any discipline. Preferably 3 to 5 years minimum relevant experience

·       Competency in standard office computer programs including the Microsoft Office Suite (Office 365), Adobe Acrobat, WinZip, Volo View, Web-based Client Portals

·       Experience with Document Management software’s like Relatics, SharePoint, Aconex, or Documentum, Web based software, VDC. Also, knowledge of Industrial Financial Services (IFS), DocPoint, SharePoint, AutoCAD 2010, GloBus Teamcenter will be added advantage

·       The candidate should have good English communication (verbal & written) & Interpersonal skill

·       Expedite with supplier/project engineer to meet the due dates

·       Should have high level of concentration and attention to details and accuracy of data, numbers and titles being entered into the system.

·       Experienced in managing/coordinating projects remotely in a globally distributed setup

·       Strong soft personal skill i.e. team player, quick learner, ability to adapt quickly & effectively etc.
