This is a role well suited to an ambitious professional, looking for the next step in their career. As an Executive Assistant, you will be responsible for:

 

This role will act as a partner and provide executive assistance to the Senior Vice President of Finance for the Global Molecular Imaging organization. The successful candidate must demonstrate exceptional organization and analytic skills as well as the ability to operate proactively to ensure the executive is prepared at all times.  This role is the primary point of contact for all internal and external partners and colleagues on all matters pertaining to the Sr. VP of Finance.   Must be a trusted and resourceful problem-solver and communicator dedicated to the productive and efficient operation of C-Suite executive.  Responsibilities include but are not limited to the following:


Meeting organization and calendar management

  • Ensures executive’s calendar, e-mail account and all communication channels are well maintained and efficiently organized

  • Schedules, prepares and acts as quality gate for all meetings with attendance of the executive

  • Is depended on to prepare executive by securing/providing necessary materials in advance and scheduling preparation time in calendar

  • Independently manages executive’s schedule including global and domestic travel and meetings

  • Plans, coordinates and prepares leadership team meetings and other meetings, prepares an account of the meetings and designates and follows up on assigned action items; partially participates in meetings, takes minutes of meetings and records/tracks action items

 

 

 

Quality gate for Sr. Vice President of Finance

  • Has oversight of approvals required from executive; makes sure that decisions are made on time and ensures all information needed for the respective subject are readily available

  • Prepares, edits, adjusts presentations; ability to take brainstorming ideas and translate autonomously to a final presentation product

  • Reconciles travel and expense reports, including cash and credit card purchases, in compliance with policy

  • Facilitates approvals and management of document flows

  • Answers, screens, and places phone calls on behalf of executive; sorts and prioritizes mail; monitors all information flow, including maintaining paper and electronic files, data entry and retrievable from electronic sources

  • Maintains confidentiality of all sensitive or proprietary information

 

Project Management

  • Drives small projects independently

  • Follows-up on action items and status reports, and provides updates and summaries to executive

  • Assists in the management of visitors

  • Understanding of finance topics and the business it supports

  • Demonstrated ability to relate well to others by establishing and maintaining collaborative relationships with internal and external parties; easily gains trust and respect

  • Excellent judgment and composure

 

 

Required skills to have for the success of this role

  • Strong organization and time management skills; ability to perform and prioritize multiple tasks seamlessly; ambition to deliver quality results

  • Advanced knowledge of MS Office programs (Outlook, Word, Excel and PowerPoint), expertise to create business-critical presentations

  • Ability to learn quickly and grasp understanding of key contacts across matrix organization structure

  • Problem-solving skills

  • Multitasking skills

  • College degree or equivalent experience
