Job Description:

Position Overview

 

Provide administrative support to manager and team, assisting in daily office needs and managing our team’s general administrative activities. 

 

Responsibilities

 

Review and update assigned calendars, including creating, accepting or declining appointments, and identifying/resolving scheduling conflicts
• Coordinate travel arrangements and process travel expenses (domestic and international) for manager and team
• Plans, prepares, and organizes all offsite and quarterly staff meetings/team events
• Completes miscellaneous tasks and projects as assigned and communicates status in the format agreed upon by manager
• Liason for various monthly meetings. Responsible for preparation, assembly and distribution of the meeting materials, meetings minutes and action items
• Partners and collaborate with applicable departments and other administrative staff to support department initiatives, meetings or projects
• Complete assigned processing and documentation of reports using knowledge of applicable systems and support resources.
• Point of contact for all documents requiring signature
• Serves as a point of contact for all internal and external customers
• Input team timecards (SAP)
• Create all Purchase Requisitions/Purchase Orders for the department
• Onboard new vendors in ERP system
• Research assistance as needed (contact landlords, vendors, contractors, etc. for status/follow up)
• Point of contact for property management
• Procures Supplies
• Ricoh copier management
• FedEx shipments
• Provide general support to team with MS Office suite applications / tips & tricks
• Interface with IT department (procure laptops, iPhones, contact helpdesk for connectivity issues, etc.)

 

Required Skills

 

• Five plus years administrative assistant experience
• Adept at supporting senior leads as well as team support
• Outstanding work ethic, professional attitude & strong communication skills (verbal/written)
• Strong multi-tasking ability and/or balancing multiple priorities
• Advanced working knowledge of computer applications, including functions of MS Office (Outlook, Windows, Excel, Word and PowerPoint)
• Attention to detail, strong organization skills and advanced typing skills
• Enjoys working in team oriented with a customer service-focused environment
