Documentation Specialist
Position Overview

The Documentation Specialist is responsible for creating and submitting all final project documentation in accordance with schedule and budget; Initial electronic project set-up; Archiving all project related documents.



·       Project final documentation creation electronic, CD, and hardcopy data books.

o   Completed on time and within budget according to the project schedule and requirements. 

o   Requires communication with Project Mangers to ensure project requirements are met.

o   Requires communication with project Engineering team for design project specific engineering documents to be included in final project documentation.

·       Initial project setup 

o   Ensures project SP sites are set-up correctly. This includes workflows, PM100 data, etc.

o   Requires communication with the Project Manager and Project Controlling.

·       Manage archived project files. 

o   Ensures archived project files are orderly.  This includes electronic and hardcopies of project files.

o   Requires communication with the Project Manager.

·       Act as a back-up to create material demands in SAP. 

o   Enter engineering BOMs into SAP for purchasing to submit vendor purchase orders.

o   Requires communication with Project Manager, Engineering team and Supply Chain.

·       Document Control

o   Upload documents to document control sites

o   Track transmittals and document revision levels

o   Provide transmittal logs/cover letters as needed

o   Required communication with Project Manager and Engineering team.


Required Knowledge/Skills, Education, and Experience


  • Requires MSOffice, Adobe, Sharepoint, SAP experience.
  • Requires experience completing tasks on time and within budget.
  • Requires excellent organizational and communication skills. 
  • Experience managing project documents and documentation.
  • Requires experience in working with different groups.
  • Previous experience with documentation software systems
  • Previous work experience with engineering documents.
  • Associates degree, at minimum
