Job Description:

Team Assistant

A great opportunity to be part of the growing Building Technologies Industry, this position is the glue that makes everything really work. Working closely with the Sales Team and Sales Managers you will have involvement in the day to day workings of the sales department from the pre-bidding process to the booking stage. It is a fast paced world for a multi-tasking, problem solving individual.

In this role you will provide high level support to multiple sales representatives in a fast-paced, interesting corporate business environment. Your organizational skills and ability to adapt will pay off as you manage a host of different schedules, events and tasks that all contribute in a significant way to those you support and the company as a whole.

Key Responsibilities include but are not limited to:

Oversee monitoring of daily bid requests
Oversee monitoring of outgoing Bids
Tracking what is due, when and who is quoting
Making sure all job documents are placed in designated folders
Making sure proposals are sent out in a timely manner
Track all addendums, bulletins and revisions for all jobs bid
Print and review drawings and specifications for sales reps as requested
Send weekly “To Do” Lists to sales reps so they know what they coming up and when it is due to guarantee timely completion
Prepare and ship Technical Proposals and Turnover to Ops Books
Work alongside reps on deadlines, section preparation, content, formatting, images and delivery options
Bi-Weekly Expense Reports
Scanning, Copying, Printing, binding and emailing for all sales reps upon request
Sending out Secure File Exchange links for electrical pricing
Scheduling courier services.
Work on special projects as assigned
Act as a liaison between customers and sales reps
Schedule resources such as people, meetings, appointments, rooms, catering and equipment; answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties, as necessary
Promptly respond to customer and staff correspondence, follow up to ensure closed loop communication or reference to appropriate resources

Knowledge and Experience:

Able to work under [periodic] intense time pressure to meet required deadlines
Able to work pleasantly and respectfully with others in a fast-paced, sometimes stressful environment
Able to work long days as may be required from time to time
Proactively shares knowledge across own organization
Demonstrate ability to manage details and priorities in a fast paced, intense environment in a high-tech company
Proven experience in assisting senior level executives and their teams
Exceptional communication, organization, productivity and time management skills
Self-starter; Proven ability to work independently and with minimal supervision
Responsible with sensitive and confidential information
Effectively represents company’s image in internal/external communications
Proficiency in MS Office Suite (preferably in MS 2010)
Very good communication skills
Strategic thinker and creative problem solver
