Position Overview

 

This role includes a combination of an administrative and quality support role. This role includes coordinating key activities for the QM&HSE department, and managing/reporting key Quality data for the department.

  

Responsibilities   

 

Data Management Responsibilities:

  • Collect various quality data as directed by the managers and Quality Engineers in the Quality department, including supporting root cause analysis with 8D Leads (Corrective / Preventative Action)   

  • Responsible for reporting updates on KPI Data

  • Setup and maintain sharepoint site for the department

  • Support department in troubleshooting O365 issues and other rollouts (act as key user for IT rollouts)

        

Quality Support Coordination Responsibilities 

  • Create Purchase Order Requests for QM&HSE manpower needs

  • Serve as Key User and Administrator for Idea Management System for Onshore North America

  • Assist Q-Inspect lead in the department with supporting Q-Inspect questions and troubleshooting (this is an IOS app used to log quality data at project sites during installation and commissioning) and loading ipads with proper setup

  • Coordinate all equipment and tooling purchasing for the department via approved vendors

  • Coordinate offsite department conferences, including team building/networking events and employee team meetings

  • Interface with Purchasing to set up and create purchase orders with new vendors on behalf of management, obtaining necessary levels of approval

 

General Administrative Responsibilities:

  • Take meeting minutes for sub-teams as needed

  • Book travel and submit expenses for management team

  • Ad Hoc needs for QM&HSE Team - Order office supplies, send orders for copying, ship equipment/goods/documentation to site

  • Order lunches for lunch meetings

  • Manage office moves, work order requests

  • Responsible for onboarding new employees for the department, as well as managing existing team members information 

 

Required Knowledge/Skills, Education, and Experience

 

  • Strong MS Excel, MS Word, and SharePoint Skills

  • Ability to create professional looking PowerPoint slides

  • Strong organizational skills

  • Strong communication skills

  • Experience with managing and reporting data via charts and with collecting & trending data in Excel

  • Experience in working in a Quality organization to support Quality related activities

  • Ability to effectively manage multiple and different activities at once

  • Experience in Six Sigma, Lean or 8D projects is preferred 

  • Experience in using typical root cause analysis methods is preferred

  • Bi Lingual in English/Spanish preferred
