Job Description

Overall responsibility / Mission 
The Business and Team Administrator supports the project management of Signalling (SIG) and Customer Information Systems (CIS) in their daily activities with respect to reporting, minutes of meetings, team assisting in for HR related topics and coordination with the document printing and copying provider. 

Measurement of success 
  • Reports ready on time and in correct format, information gathered and compiled in correct manner 
  • Minutes of Meetings archived and submitted via Aconex Document Management System to the parties on time 
  • Timesheets of employees and third party approved on time and archived 
  • HR related administrative tasks for local employees and delegates captured and formally executed 
  • Site Document copies available on time for engineers and technicians to work on site
Objectives / main activities 
  • Support project management on their daily activities and support the team for HR related topics 
  • Schedule reporting and ensure that reports are made available on time and in correct format. This can include collection of information and compiling it into reports
  • Attend meetings with the customer and compile minutes of meetings in cooperation with the engineers, formalise them and submit on Aconex documentation system to the involved parties 
  • Collect timesheets of the employees and of the subcontractors. Ensure timely approval through management, archive and align with the subcontractors to ensure consistency in the records 
  • Point of contact for the team-members of SIG and CIS for HR and administrative topics 
  • Provide engineers and technician on site with required copies of technical documentation. Coordinate with printing and copy service provider to ensure proper contents and quantities of the documents 
Knowledge / Qualification 
  •  Business Administration or equivalent studies 
  •  First working experience in similar function 
  • Team work mentality and eagerness to learn and grow within a multicultural environment 
  • Good communication skills, first reporting experience 
  • Solid IT skills, MS Office package PowerPoint, Excel and Word
