Job Description

Job responsibilities

Mission:

  • VP Calendar Management

 - Update VP's working calendar

 - Organize/coordinate meeting schedule of VP

 - Prepare necessary documents for the meetings/events

 - Handle all daily appointments of VP.  All appointments are to be properly made with date, time and place and confirmed with other attendees.

  •  Travel Organization for VP and other VIP Visitors

- Book hotels, flights, transportations

- Prepare travel application and claim expenses

- Receive and arrange external and internal visitors, prepare invitation letters as required

  • Preparation of Documents in Assistance to VP

- Prepare drafts of letters, memos, reports for VP upon request

- Prepare meeting minutes for meetings chaired by VP upon request

- Ensure that the meeting minute is distributed

  • Phone Calls

- Receive and forward phone calls for VP

- Use technical possibility of telephone system properly

  • Filing

- Maintain an efficient filling system for the department

- Handle all filling of incoming and outgoing correspondence to VP

- Establish a system of tracing for all letters, leave application or other docs required by VP

  • Office Administration

- Keep office facilities in good conditions and request service from in-house service groups

- Coordinate with Internal Buyer for the department stationary and other supplies purchase

- Organize driver's working schedule for VP

- Help to apply all office applications & IT support for VP

  • Ad-Hoc Tasks

- Manage any Ad-Hoc Tasks assigned by VP

  • Support Company Activities

- Support annual event or company activities with other team assistants

  • Back up to other Executive Assistant

- Back other Executive Assistant ‘s work during her / his absence

Required Education/Skills/Experience

  • Bachelor Degree or above.
  • Minimum 5-8 years experience in management assistant, secretary or other service function i.e. Hotel Front desk.
  • Excellent in MS office software, especially Power Points
  • Language knowledge: Fluently English and Chinese skills both in written and spoken, German is plus.
  • Interpersonal skills and ability to quickly get the points
  • Able and strong willingness to adapt new skills and situation
  • Excellent Office Administration skills
  • Basic Procurement skill
  • Good Team work attitude
